What is the front office department in hotel operations?


The Front Office function of a Hotel is to act as the public face of the hotel, primarily by greeting hotel patrons and checking in guests.

It also provides assistance to guests during their stay, completes their accommodation, food and beverage, accounts and receives payment from guests.


a) Front Office: Sell guestrooms; register guests and design guestrooms  Coordinate guest services  Provide information Maintain accurate room statistics, and room key inventories  Maintain guest account statements and complete proper financial settlements

b) Reservation:  Receive and process reservation requests for future overnight accommodations.  With technology development, the Reservation Department can, on real time, access the number and types of rooms available, various room rates, and furnishings, along with the various facilities existing in the hotel Edgar Dsouz

Types of Guestrooms According to Price, Layout and Facilities

1.      Economy – A room designed for an economical rate, usually short of standard facilities like air con, television and other amenities.


2.      Standard – Room sold at moderate rate, equipped with standard facilities and amenities like air con, toiletries, TV, bed, nite table, etc.



3.      De Luxe – A more luxurious and spacious room with amenities of superior quality, sold at a much higher price than standard room.


4.      Studio – A room with studio bed- a couch which can be converted into a bed. It may also be called an executive room.



5.      Connecting Rooms – Two or more rooms with entrance doors from the outside door between them through which guest can get through each bedroom without going out of their room.



6.      Suite – A room with a parlor or living room connected to one or more full sized bedrooms equipped with luxury amenities and sold at a higher price than standard rooms.


FRONT OFFICE TERMINOLOGY


A La Carte  – A menu from which items are chosen and paid for individually. This type of agreement is included in any tour.
Comp - Refers to a room that is complimentary (no charge).
Confirmation – A written agreement between a hotel and a future guest showing details of their reserved accommodations.
Day Use Rate - amount applied to rooms between 6:00 AM and 6:00 PM of the same day.
Day Use - A room used for only portion of a day.
Departure Date - The actual date the guest will check out of the property.
DNA – Stands for (did not arrive).
Early Arrival  - Guest who arrived at a property before the date of his or her reservations.
Early Departure - A guest who checks out before the originally scheduled departure date or time.
Efficiency - An accommodation containing a kitchen facility.
Folio – The guest bill. It is created upon check in and is used to record all guest charges and posting transaction
Full House- All rooms are occupied; no room left for sale.
GM - The general   manager of the hotel or motel the property’s chief executive.
ID - An abbreviations of identifications.
European Plan - Hotel accommodation where no meal included in the price of the room.
Rollaway Bed  – A portable single bed which can accommodate an additional guest.
Room Change – When a guest moves from one to another during his stay.
Room Rate – The rate designated for a specific room.
This term is usually use in front office in order to communicate to the other staff . Easy because they this term.

The Personnel


Desk Clerk – Attends to all the registration of guest and provides information on assistance. Assist the guest during check in and check out.
Doorman/bellboy – Assist/escorts guest during check in and check out and run’s errand for the front desk





























Front office Cashier- Attends the settlements of guest bill.



Airport/Transport Representative – Transport guest to and from the airport or other terminal, and hotel.



Guest Relation or Concierge – Attends to all incoming any request for guest assistance especially for VIP’s.


Telephone Exchange – Attends to all incoming and outgoing calls in the telephone exchange section.




Front Office Manager  - Who comes under the direct supervision of the Director of Rooms and supervises the Front Office Department
